I don't THINK there is an easy way to share task folders outside of an exchange environment (or between exchange environments). Next action tasks from within those pages are linked as Outlook tasks, so Outlook acts as the summary dashboard of what has been flagged as actionable in OneNote. I use entire OneNote sections to handle large Projects and is a central repository for all the data. Every project that is too big to be handled within simple task notes (like more than 5 steps) is usually a OneNote page. I spend like 70% of my time 'working' from within OneNote. I'd suggest that if you are already using desktop Outlook for mail and tasks that you consider using OneNote for work notes because it's a superior workflow (you can directly embed Outlook task and Calendar items within your notes!). Yes I realize that method makes it hard to have an automated single unified project list but the workflow for my huge projects is just so different for mini-projects that I stopped trying. Now when I want to focus on one project I can just go to that task folder.įor little projects of just a few steps (really, the vast majority of my tasks, whether they are part of a big project or just an admin task) I'll just manage that within a single Outlook task where I'll keep the list of steps and notes in the task notes and just rename the task with every completed step. I was using categories to group major projects but now use task folders instead. Outlook is awesome for customizing views I show the 'in folder' column in my combined tasks view so now I can see what big project each task in the next action is associated with. So my main working list is an 'all tasks' view grouped by category (being able to tag multiple categories to one thing lets you use outlook categories to define several different attributes if you want, like are contexts, 'S-.' are status or even 'P-.' for projects).

You can then use categories to flag status (like next action, waiting, etc) and context and they'll show up in a flat 'combined' list. I've recently started using a hierarchy of task folders to help organize huge projects.

Also if you want to manage tasks from mobile then desktop plugins might not be a good idea anyway.

I've used some gtd add-ins in the past but now they don't let us install 3rd party software so I need to live with stock Outlook. Obviously, Outlook isn't customized for gtd out of the box. Since all the data is on exchange there's not much drawback to using multiple apps. When 'working' the tasks lists I'll use TnN. So if I'm processing email on mobile I'll be in Nine where I can convert them to tasks. Both these great apps will sync those folders but with Nine you have to select it from a list, TnN sees the new folders and syncs automatically. I've recently switched from using Outlook categories handling contexts and projects to adding new task folders to contain projects. TnN is obviously specific to exchange Tasks and Notes but I tend to like its widgets better and it automatically syncs new folders I create. Nine is more complete where you can actually handle email (and convert them to tasks within the app) and do calendar stuff. Though it's rumored that there is a big refresh of that coming.

Touchdown used to be the king of exchange syncing but haven't seen an update in a while after they were bought out by.Norton-I think. Both are great apps that are constantly adding features and updates.

Currently use both Nine and 'Tasks and Notes' to sync to Android via exchange server. I use desktop outlook mail/tasks for work.
